SPG Foundation is a non-profit organization by youth, for youth, and with youth. We are seeking a detail-oriented Program Planning/Administrative Assistant to join our team. The successful candidate will provide essential administrative support to our program coordinators and executive team, ensuring efficient program planning and implementation. This role requires excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities:

  1. Provide administrative support to program coordinators and the executive team
  2. Assist in program planning, scheduling, and logistics coordination
  3. Maintain accurate program records and participant databases
  4. Coordinate venue bookings and equipment needs for monthly program activities
  5. Prepare and distribute program materials and correspondence
  6. Assist with participant registration and communication
  7. Support the preparation of reports for board meetings and funders
  8. Manage office supplies and equipment
  9. Coordinate volunteer schedules and training sessions
  10. Assist with budget tracking and expense reporting for programs


Minimum Requirements:

  1. Work experience in business administration, non-profit management, or related field
  2. 1+ years of administrative experience
  3. Proficiency in Microsoft Office suite and database management
  4. Strong organizational and time management skills
  5. Excellent written and verbal communication abilities
  6. Experience with event planning or program coordination
  7. Attention to detail and ability to manage multiple priorities
  8. Basic understanding of budgeting and financial record-keeping

Preferred Requirements:

  1. Experience working with youth or in community development
  2. Knowledge of non-profit operations and governance
  3. Familiarity with project management
  4. Experience with volunteer coordination
  5. Microsoft Office tools proficiency (PPT, Excel, Word, Teams)
  6. Proactive communication attitude
  7. Understanding of the GTA community landscape and resources
  8. Bilingual capabilities (English, Korean)
  9. Notable achievements or unique experiences in the field (if applicable)
